What a concert booker (متعهد حفلات) does in Jordan, and when you need one

Short answer

A concert booker, the متعهد حفلات, gets an artist to your date. He reaches the right representative, agrees the fee and terms in writing, coordinates permits, travel and technical needs, and runs the show day so the artist arrives and performs as agreed. A private host needs one for a wedding built around a named singer; a company needs one for a launch, gala or public concert. Send a six-line brief, and allow four to twelve weeks for a regional act, three to six months for an international one.

What the word covers, and what the job actually is

In Jordan the title متعهد حفلات stretches a long way. It covers the person who supplies a زفة and a DJ for a wedding, and the one who contracts a regional artist for a summer concert. The common thread is the position: he stands between the host and the artist and takes responsibility that the performance happens as agreed. The job has four parts.

Access

Every established artist has a door: a manager, a booking agency, or a promoter who holds them for a season. Messages to fan pages and "official" emails rarely reach the person who decides. A booker knows who represents whom, sends the request to that person, and gives you an honest read on fit before you settle on a name.

Terms

Fee, deposit, when the balance is paid and in which currency, cancellation on both sides, the technical and hospitality rider, and the rights: filming, broadcasting, using the artist's name in your marketing, and posts on the artist's own accounts. Each is a separate line. The booker's job is to get all of it into one signed document before anything is announced.

Permits and logistics coordination

A public concert in Jordan needs approvals that a private wedding does not, and a non-Jordanian performer needs entry and work permissions that a local one does not. The booker does not issue any of these; the authorities do, and the applicant is usually the organiser or the venue. What he brings is knowing which apply, who applies, and how long each takes, so the date is not lost to paperwork. Then come flights, hotels, transport, sound and lighting, the stage schedule, and one clear conversation with the venue about what the artist needs.

Show day

Arrival, sound check, hospitality, the run of show, the balance payment, and the moment the artist leaves. On a well-run night the host is a guest at their own event and nobody is chasing anyone by phone.

When a private host needs one

You need a booker when the evening is built around a named singer or band, when there is a زفة plus a singer plus a DJ to sequence, or when the venue requires a licensed production company. You probably do not need one for a small band the venue already works with, if you are happy to sign the terms yourself and hold the timing on the night. The honest test: if the artist has management, so should your side of the table.

When a company needs one

Launches, galas, staff celebrations, concerts and festivals all put an artist on a stage that carries the company's name. A company needs someone to translate the artist's requirements into the venue's, to hold a proper supplier contract with the artist, and, for anything public, to keep the permit timeline honest. Marketing teams are usually good at the event and less used to the artist side; that gap is where a booker earns his fee.

The six lines to send

Managers answer complete requests and ignore vague ones. Put these in one message.

  1. The event: wedding, engagement, launch, gala, concert, festival, and whether it is private or public.
  2. The date, the city, the venue and the expected number of guests.
  3. The role: full show, short set, appearance, hosting, and how many minutes on stage.
  4. The audience: who is actually in the room, in age and in taste.
  5. A budget range. A real range, not "send us your price". Nobody prices a blank page.
  6. Who you are, and who on your side can sign.

With these six lines a booker can come back within days with a realistic answer. Without them the conversation restarts every time.

Lead times that hold in Jordan

  • A wedding singer or band in Amman: four to eight weeks, and longer between June and September.
  • A regional artist for a concert with production: six to twelve weeks.
  • An international artist: three to six months, and longer if visas, a full band or a Gulf exclusivity window are involved.

Summer weddings, Eid, national days and December fill calendars early. If your date sits in one of these, add a month.

Red flags

  • He cannot, or will not, say who represents the artist.
  • He wants the full fee before there is a signed contract.
  • He quotes a number before reading your brief.
  • He guarantees the artist will say yes.
  • He asks you to announce the artist before signing.
  • He is vague about who the contracting party is.
  • He cannot say which permits apply to your event, or says none do for a public show.
  • He treats filming and posting as favours rather than rights with a price.
  • Nothing is in writing.
